Google Account Integration Disclosure


Overview

Mothernode provides optional integrations with Google Gmail and Google Calendar to enhance productivity and streamline communication.
These integrations allow users to securely connect their Google Accounts directly within Mothernode without manually entering SMTP settings.

When you connect your Google Account, you authorize Mothernode to access specific data and perform limited actions on your behalf as described below.

Mothernode’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.


1. Gmail Integration

Purpose

When you connect your Gmail account, Mothernode uses your Google credentials (via OAuth 2.0) to send emails and transactions directly through your Gmail account.
This ensures messages are sent from your actual email address, allowing recipients to reply directly to you.

Usage

Mothernode uses your connected Gmail account to:

  • Send transactional emails such as Quotes, Orders, Invoices, Deposit Invoices, Purchase Orders, Work Orders, and Cases.

  • Send customer and vendor correspondence from modules like Customers, Contacts, Vendors, and Vendor Contacts.

  • Automatically BCC Mothernode to file sent messages and attachments in the correct customer or job record.

  • Record all email activity within the corresponding Mothernode record for audit and communication history.

Permissions Requested

  • Send email on your behalf: Allows Mothernode to send messages through your Gmail account so recipients see them as coming directly from you.

  • See your primary Google Account email address: Identifies which Gmail account is connected.

  • Associate you with your personal info on Google: Confirms account ownership and prevents unauthorized connection attempts.

Limitations

Mothernode does not:

  • Read, access, or store your personal Gmail messages or inbox content.

  • Access received emails or attachments in your Gmail account.

  • Share or sell Gmail data to third parties.

All sending actions are initiated by the user from within the Mothernode application.


2. Google Calendar Integration

Purpose

Mothernode’s Google Calendar integration lets users sync Mothernode calendar activities with their Google Calendar for easy scheduling and visibility.

Usage

Once connected, Mothernode can:

  • Display and manage Mothernode events (tasks, appointments, installations) in your Google Calendar.

  • Automatically add key dates such as:

    • Quote Estimated Close Dates

    • Order Due Dates

    • Work Order Service Dates

    • Other transactional milestones

  • Keep both calendars synchronized when updates occur in Mothernode.

Permissions Requested
  • See, edit, share, and permanently delete all calendars you can access using Google Calendar
    This allows Mothernode to:

    • Create and update events.

    • Sync changes between platforms.

    • Remove events deleted in Mothernode.

    • Manage sharing visibility for events linked to Mothernode.

Limitations

Mothernode does not:

  • Access unrelated Google Calendar events that are not linked to Mothernode.

  • Read private appointments outside of the integration.

  • Share or disclose calendar data externally.


3. Data Storage and Security

  • Mothernode uses Google’s OAuth 2.0 protocol for secure authentication.

  • Google credentials are never stored by Mothernode.

  • Tokens are encrypted and used only to maintain an active session.

  • You can revoke Mothernode’s access at any time from your Google Account Permissions.

5. Transparency and Control

You maintain complete control of your Google connection:

  • Disconnect your Google Account from Mothernode at any time.

  • Manage or delete events created in Google Calendar.

  • Remove Mothernode’s permissions directly from your Google Account settings.
