Mothernode Implementation Process: What to Expect

Implementing new software can feel overwhelming, but Mothernode makes the process straightforward and supportive from start to finish. This overview outlines what new customers can expect during their setup, training, and go-live journey.

Mothernode’s implementation process begins after you sign your 12-month agreement and pay your implementation fee. You’ll be introduced to your account manager during a kickoff call, where we’ll outline your onboarding plan and set key milestones. Your training sessions start after your account is properly configured, and your subscription only begins once your team begins using the software (go-live). Training is broken into multiple sessions tailored to your needs, and recordings are provided for your reference. With proper preparation, most implementations are completed within 60 days.


Full Process Breakdown

1. Agreement and Kickoff

  • You will receive a proposal and a 12-month term agreement.

  • Your subscription does not begin until your go-live date, which starts after your first training session.

  • Once you’re ready to proceed, a contract is sent for digital signature.

  • After signing, your implementation fee is processed and your kickoff call is scheduled.

2. Kickoff Call and Planning

  • You’ll meet your Mothernode Account Manager.

  • Together, you’ll:

    • Review your plan

    • Confirm account settings

    • Outline the estimated 60-day implementation timeline

    • Identify key milestones and training dates

    • Discuss how to prepare your data for import

    • Schedule weekly calls (same day and time each week)

⏱ Note: Implementations can move faster for customers who are well-prepared. Delays due to holidays or vacations may lead to an extended timeline. If the go-live date is significantly overdue, Mothernode reserves the right to begin the subscription.


3. Account Setup and Data Preparation

  • You are responsible for preparing and reviewing your data for import.

  • Your Mothernode team will assist in ensuring it’s mapped correctly for your account.


4. Subscription and License Management

  • Your subscription begins at go-live, not at contract signing.

  • You manage your monthly licenses and credit card information.

  • You can add/remove users monthly.

  • Minimum license requirements apply based on your plan.

  • Volume discounts may be available based on user count and locations.


5. Training and Go-Live

  • Admin Training is conducted toward the end of implementation.

  • After admin training, formal team training begins:

    • Typically 4–5 sessions, twice a week

    • Average 2 hours per session

  • Additional optional training (as needed):

    • QuickBooks Integration

    • FedEx and UPS Integration

    • Stripe Setup (Credit Card and ACH)

  • Training sessions are hosted via Google Meet and recorded for download (subject to Google’s retention policies).


6. Optional Post-Go-Live Training

  • Email Marketing Training is available and recommended about 60 days after go-live, once your team is familiar with the platform.
